Configuring client hardware replacement settings

Managing hardware replacement settings for your clients is crucial for ensuring their IT infrastructure remains up-to-date and reliable. This article walks you through setting up client-specific hardware replacement settings that allow for tailored Hardware Lifecycle Reports and Scheduled Reports.

Customizing hardware replacement settings at the client level ensures that:

  • Reports are tailored to the client's needs: Each Hardware Lifecycle Report or Scheduled Report is unique to the client.
  • Specific replacement ages and due soon settings: Hardware assets will have customized replacement ages and due soon notifications, providing accurate and actionable insights.

Accessing Hardware Settings

To begin configuring settings for a specific client:

  1. Navigate to the Client Dashboard: Access the client's dashboard where you want to customize settings.
  2. Click Settings > Hardware: This will open the hardware replacement settings specific to the client.

Clicking the Hardware settings for all clients button lets you set global settings that will apply to all your clients. See Account-level settings for additional information.

Enabling Custom Hardware Replacement Settings

  1. Turn on Custom Settings: Use the toggle switch to enable custom hardware replacement settings for the client.
  2. Set Average Hardware Replacement Value: Define the average replacement value for each hardware asset type. This ensures the Hardware Lifecycle Report reflects the most accurate data.
  3. Set Maximum Replacement Age: Determine when a hardware asset is considered overdue. By default, Lifecycle Manager uses the warranty expiry date as the end-of-life date unless you specify otherwise.

Configuring Due Soon threshold

  1. Enable Due Soon Settings: Use the toggle switch to turn on custom due soon settings for the client.
  2. Set the Due Soon Threshold: Choose the number of days before the hardware assets' expiration date to be marked as due soon. Options include:
    • 90 days
    • 120 days
    • 180 days
    • 1 year

Customizing the Lifecycle report

  1. Enable Custom Lifecycle Report Settings: Turn on the toggle switch to customize lifecycle report settings for the client.
  2. Select Report Features: Check or uncheck the boxes to include or exclude specific features in the Hardware Lifecycle Report:
    1. Show virtual machines
    2. Show hardware with unknown warranties
    3. Show budgeting
  3. Customize Report Fields: For reports that already contain essential fields like asset name, user, make, serial, model, OS, age, purchase date, and warranty expiration date, you can add:
      1. Show CPU - includes the model type
      2. Show RAM - includes total memory for asset
      3. Show Storage - includes total storage available for asset
      4. Show Last Check-In Date - includes the last time a user has used the device
        1. All supported RMM's, except ConnectWise RMM, provide last check-in date data

The default format of the hardware lifecycle manager is portrait. However, if the selected report fields will not fit on a portrait page, the format will automatically change to landscape.
