Using PSA products in Initiative budgets

Lifecycle Manager syncs the product catalog from your PSA, so you can review your products in one place and use them when you build an Initiative's budget.

This article explains how to view your PSA products in Account Settings, and how to add budget line items to an Initiative that are based on those products, priced per unit, per replacement asset, or per user. It also covers entering credits and discounts as negative amounts.

Note: The Products page and the product and contact pricing options described below are available in the new Lifecycle Manager UI.

Viewing your PSA products

The Products page lists the products synced from your PSA product catalog.

  1. Click your account name in the upper left corner of any page, then click Account Settings.
  2. Under the Features section of the left navigation panel, click Products.

Each row in the list represents a single product:

  • Name
    The product name from your PSA.
  • Identifier
    The product's ID in your PSA.
  • Category
    The product category from your PSA.
  • Source
    The PSA the product was synced from.
  • Unit cost
    What the product costs you, per unit.
  • Unit price
    What you charge for the product, per unit.
  • Status
    Whether the product is Active or Inactive.

The list is sorted by name. You can also sort it by Unit cost or Unit price by clicking the column header.

Use the filters at the top of the page to narrow the list:

  • Source
    Show products from ConnectWise, Autotask, or HaloPSA, or choose All.
  • Status
    Show Active or Inactive products, or choose All.

If no products match your filters, click Clear filters to reset them.

Products are managed in your PSA, so this page is view-only. If the list is empty, products appear once your PSA catalog syncs.

Note: Viewing this page requires access to Products in your user role. If you don't see Products in Account Settings, contact your account administrator.

Building Initiative budget line items from products

You can base an Initiative's budget line items on your PSA products, and choose how each line is priced.

  1. Open the Initiative, for example by clicking it on the client's Roadmap.
  2. Click the amount next to Budget to open the Manage budget window. If the Initiative doesn't have a budget yet, click Budget next to Add instead.
  3. Click Add line item.
  4. In the Product column, choose a product. You can search by product ID or name. Only active products are listed, and each one shows its PSA product ID followed by its name. To add a line that isn't tied to a product, choose No product.
  5. Enter a Description. When you choose a product and the description is empty, Lifecycle Manager fills it in with the product name. You can change it at any time.
  6. Choose a Recurrence: One-time, Monthly, or Annual.
  7. Choose a Type to set how the line is priced (see Pricing options below), and enter a Quantity if needed.
  8. Check the Unit Price. When you choose a product, Lifecycle Manager fills it in with the product's unit price from your PSA. You can change it for this line.
  9. Click Save changes.

The Subtotal column shows the unit price multiplied by the quantity for each line. Every line needs a description and a unit price before you can save.

To change the order of your line items, drag a line by its handle, or open the line's actions menu and click Move up or Move down. To delete a line, click Remove line in the same menu.

Pricing options

The Type column controls what each line's unit price is multiplied by:

  • units
    Priced per unit. Enter the number of units in the Quantity column. The quantity defaults to 1.
  • assets
    Priced per replacement asset. The quantity is the number of assets assigned to the line, and is calculated for you. The first line you set to assets starts with all assets linked to the Initiative assigned.
  • contacts
    Priced per user. The quantity is the number of contacts the client has in Lifecycle Manager, and is calculated for you. It updates when the client's contact list changes.

To choose which assets a line applies to, click the number in the line's Assets column:

  • On the Existing tab, search the assets already linked to the Initiative and select or clear them. Click Done when you're finished.
  • On the Add new tab, find another of the client's assets to link it to the Initiative and assign it to the line, without leaving the budget.

For lines priced by units, you can still assign assets to show which devices the cost relates to, but this doesn't change the quantity. Assets can't be assigned to lines priced by contacts.

Budget totals

The bottom of the Manage budget window shows the Initiative's Totals:

  • One-time
    The total of all one-time lines.
  • Recurring
    The Monthly and Annual totals of all recurring lines.
  • Assets
    Shown when assets are linked to the Initiative. It counts the assets to replace (assets assigned to at least one line), and the assets referenced (linked to the Initiative but not assigned to any line).

Adding credits and discounts

To add a credit or discount, enter a negative Unit Price on a line item, for example -250.00. The line's subtotal is negative and reduces the Initiative's totals.

  • Credits work with any Recurrence and Type. For example, a monthly line priced by contacts with a negative unit price lowers the monthly total by that amount for each of the client's contacts.
  • Quantities can't be negative. Only the unit price carries the negative sign.
  • An Initiative's total can be negative if its credits are larger than its costs.
