Effective management of client personnel information is vital, particularly when delivering services like onboarding and offboarding, which involve detailed management of technology assets tied to individual employees. Viewing client users offers a centralized platform for managing this information. This article walks through leveraging Users to maintain up-to-date records of your client's employees.

The Contacts section of the Client profile acts as a central hub for all client employee information, streamlining the process of accessing basic personnel details. This capability is crucial when managing client personnel changes, such as provisioning new equipment for hires or decommissioning assets for departures.

Accessing the User console

To begin using the User console:

  1. In the top navigation bar, click Home to access the Client list.
     
  2. Select a client by clicking their name. The Client's Profile page will open.

     
  1. In the Manage section of the left navigation panel, click Contacts.

This action displays all the personnel associated with the selected client, providing a view of basic employee information.

Key features of the User console

User reports

The Contacts page is equipped with reporting and export options designed to streamline data analysis and sharing. The User Report and Spreadsheet download features enable access to extract user and Microsoft 365 data. These options allow you to export either full datasets or filtered views based on your specific needs. Whether generating Microsoft 365 user reports or exporting customized spreadsheets with visible columns, these options simplify tracking, managing, and sharing insights with stakeholders. Centralized personnel data

  • The Contacts page pulls data from integrated Professional Services Automation (PSA) or Remote Monitoring and Management (RMM) systems, ensuring that the employee information is synchronized and current.
  • It also provides integrated data from Microsoft 365, providing additional insights into user activity and security configurations.

List of employee details:

  • View essential details about each employee, including:
    • Employee Name
    • Email Address
    • Role within the organization

Microsoft 365 data

The Contacts page includes filters to help you find specific contacts:

  • Security Training
    Filter contacts by their security awareness training status
  • Phishing Clicked
    Filter contacts by whether they've clicked a simulated phishing email.
  • In Microsoft 365
    Filter contacts by whether they're part of the organization's Microsoft 365 subscription.
  • Microsoft 365 MFA Status
    Filter contacts by whether multi-factor authentication (MFA) is enabled for their account.

Customizing the User console

Customizable Columns

Click Choose columns... to show or hide columns in the contacts table. Available columns include:

  • Name
    The contact's full name.
  • Email
    The contact's email address.
  • Role
    The contact's role within the organization.
  • Training
    The number of security awareness training courses completed by the contact.
  • Phishing Clicked
     The number of simulated phishing emails the contact has clicked.
  • Microsoft 365 Assigned Products
    The Microsoft 365 licenses assigned to the contact.
  • Microsoft 365 MFA Status
    Whether MFA is enabled for the contact.
  • Microsoft 365 MFA Method
    The authentication method used for MFA, such as Microsoft Authenticator push notifications, or one-time password (OTP).
  • Last Active
    The date the contact last had activity across any Microsoft 365 service.

Utilizing People Data in Client Engagements

Quarterly Business Reviews (QBRs):

  • Utilize the detailed employee information during QBRs to discuss personnel changes with clients and review the implications of these changes on their IT infrastructure.

Proactive Personnel Management:

  • By maintaining current and comprehensive records of client personnel, you can proactively manage onboarding and offboarding processes, ensuring that each transition is smooth and that no IT assets are left unsecured or underutilized.
