Scheduling a Deliverable (New UI)

Scheduled Deliverables automatically generate and send a Deliverable to a client on a recurring basis, so you don't need to rebuild and send the same report by hand each time.

What you'll need:

  • A Lifecycle Manager X license applied to clients for whom you want to use Deliverables. 
  • These steps assume you already have a Deliverable template to schedule. For instructions on creating one, see Working with Deliverables Templates (New UI).
 

Accessing scheduled Deliverables

  1. Open the client's Deliverables page. (Client picker > client name > Engage > Deliverables)
  2. Click the Scheduled tab.

To see scheduled Deliverables across your entire portfolio instead of one client, switch to All clients in the client picker and open the Deliverables page from there, then click the Scheduled tab. This view adds a Client column showing which client each schedule belongs to.

The Scheduled tab lists every scheduled Deliverable, showing the template used, the cadence, any recipient overrides, status, the next delivery date, and when it was last delivered.

Creating a scheduled Deliverable

  1. Click + New Scheduled Deliverable
  2. Under Deliverable template, select the template to generate on each send.
  3. Set the Frequency (for example, Monthly), the Time (shown in your account's time zone), and which day the send occurs On
  4. To include the client's key contacts automatically, turn on Also send to the client's key contacts. To add specific people instead, or in addition, add them under Recipients, either by picking from the client's existing contacts or typing an email address directly. At least one recipient needs to be set before the schedule can be created.
  5. Enter a Subject and Message for the email. Type / in either field to insert a variable, such as the month or client name. 
  6. To include a PDF copy of the Deliverable with each send, enable Attach a PDF of the deliverable.
  7. Click Create schedule.

The first send date and time appear at the bottom of the panel before you save.

Previewing and testing a scheduled Deliverable

Before relying on a schedule, you can check how it will look and confirm delivery works:

  • Click View Preview to see the recipient email exactly as it will be sent, with the Subject and Message fields filled in.
  • Click Send a Test to send a one-off copy of the email to an address of your choice (it defaults to your own address), with every variable resolved so you can check how it reads. The test doesn't affect the saved schedule and doesn't include the PDF attachment, even if Attach a PDF of the deliverable is turned on.

Editing a scheduled Deliverable

  1. In the Scheduled tab, click the overflow menu beside the schedule you want to change.
  2. Click Edit Schedule.
  3. Update any field. The Deliverable template can't be changed once a schedule is created; to use a different template, delete this schedule and create a new one instead.
  4. Click Save changes.

Sending a scheduled Deliverable immediately

To trigger a one-time send without waiting for the next scheduled date:

  1. In the Scheduled tab, click the overflow menu beside the schedule you want to send.
  2. Click Send Now.
  3. Confirm by clicking Yes, Send Now in the pop-up.

This sends a new version of the Deliverable right away and updates the schedule's Last Delivered date. Your regular cadence isn't affected, so the Next Delivery date stays the same.

Pausing or resuming a scheduled Deliverable

  1. In the Scheduled tab, click the overflow menu beside the schedule.
  2. Click Pause Schedule, then confirm by clicking Yes, Pause Schedule in the pop-up. The schedule's status changes to Paused and no further sends go out until it's resumed.
  3. To start it again, click the overflow menu and click Resume Schedule.

Deleting a scheduled Deliverable

  1. In the Scheduled tab, click the overflow menu beside the schedule you want to remove.
  2. Click Delete Schedule.
  3. Confirm by clicking Yes, Delete Schedule in the pop-up. This can't be undone.
