Recurring meetings let you schedule a regular check-in with a client once, and Lifecycle Manager creates each meeting in the series for you. Every meeting in a series is still its own meeting, with its own agenda, notes, attendees, and linked items.

The new Lifecycle Manager UI is in Open Beta You might notice occasional changes as we continue to refine this feature. |

Who can use this feature?

Creating a recurring meeting
- Open the Meetings page. In the left navigation panel, click Engage > Meetings, or open a client and click Engage > Meetings.
- Click New Meeting.
- Enter the meeting details. If you started from the Engage Meetings page, choose the Client first.
- Select the meeting date, start time, and end time. These are required before you can make the meeting recurring.
- Under Recurrence, click Does not repeat.
- Choose a Frequency and set the repeat options. See Repeat options below.
- Click outside the Recurrence panel to apply your choices. The Recurrence field now shows a summary of the schedule, such as Weekly on Monday: 9:00 AM - 10:00 AM.
- Add any other details, such as Attendees and Agenda, then click Create meeting.
The meeting's start and end time are used for every meeting in the series. If a required recurrence field is missing, the message Complete the recurring meeting fields. appears and you can't create the meeting until it is filled in.
| Note: The other meetings in the series copy the title, agenda, meeting type, and attendees. You can change the attendees on any single meeting. |
Repeat options
- Frequency - Choose Daily, Weekly, Monthly, or Yearly.
- Every - For daily, weekly, and monthly meetings, enter how often the meeting repeats, such as every 2 weeks. For yearly meetings, choose the month instead.
- On (weekly) - Click each day of the week the meeting should repeat on. At least one day must stay selected.
-
On (monthly and yearly) - Choose one option:
- A specific day of the month, from 1 to 31.
- A weekday position, such as the First Monday or the Last Friday. Positions are First, Second, Third, Fourth, and Last.
- Start date - The date the series begins. This defaults to the meeting date.
-
Ends - Choose when the series stops:
- No end date - The meeting keeps repeating.
- End by date - Enter an End date.
- Number of occurrences - Enter how many Occurrences the series should have.
How a meeting series works
When you open a meeting that belongs to a series, the details are split into two groups:
- Series - The Client, Owner, Type, and Recurrence shared by every meeting in the series.
- Meeting - The Status, Date, Attendees, and other details for this meeting only.
Goals and attachments added to the series appear on every meeting in it. On an individual meeting, series goals are listed under Series goals, and series attachments can only be removed from the series.
Editing a single meeting in a series
To change just one meeting, open it and edit it as usual. Changes to the title, Status, Date, Attendees, Agenda, Notes, and linked items apply only to that meeting. Applying a template to the meeting also changes only that meeting.
For more on working with an individual meeting, see Managing client meetings.
Editing the whole series
- Open any meeting in the series.
- Click the ... (more actions) menu at the top of the meeting, then click Edit this series. You can also click the Type or Recurrence value in the Series section to go straight to that setting.
- In the series view, update the Owner, Type, or Recurrence. To link a goal to the whole series, click Add linked item. You can also add attachments that every meeting in the series will share.
Series changes save automatically. They apply to meetings scheduled today or later, no matter which meeting you opened the series from. Past meetings are not changed.
When you change the recurrence, upcoming meetings move to the new schedule and keep their own agenda, notes, and attendees. If the new schedule has fewer meetings, for example because you set an earlier end date, the extra upcoming meetings are removed.
Stopping a series
To stop a meeting from repeating while keeping its history:
- Open the series, as described in Editing the whole series.
- Click the Recurrence value.
- Click Cancel recurrence, then click outside the Recurrence panel.
| Note: Cancelling recurrence keeps past meetings as individual meetings, but deletes every meeting in the series scheduled today or later. |
Deleting a meeting or a series
- Open a meeting in the series.
- Click the ... (more actions) menu at the top of the meeting.
- Choose one of the following:
- Delete this meeting - Deletes only this meeting. No other meetings in the series are changed.
- Delete this series - Permanently deletes every meeting in the series, including past and future meetings.
- Confirm the deletion. This action cannot be undone.
