Keep questions, decisions, and handoffs with the records your team works on. In the new Lifecycle Manager UI, you can add comments to a record, mention a teammate to request their input, and manage those conversations from your Inbox.
This article explains how to use comments and replies, receive mention notifications, and review the activity history available on hardware assets.
Availability: These instructions apply when Comments and Inbox are available in your account. If you do not see them, check that you are using the new Lifecycle Manager UI and contact ScalePad Support for availability information.
Where you can use comments
Comments are available on hardware assets, installed software assets, meetings, goals, initiatives, agreements, tasks, and contacts. Open the record's detail drawer and select Comments.
The conversation stays attached to that record so teammates with access can see the discussion when they open it. The number beside the Comments tab includes comments and replies.
Note: For software, open an installed software asset. Software catalog entries do not have comments.
Add a comment
- Open a supported record.
- Select the Comments tab beside the record details.
- Select Add a comment and write your message.
- Add formatting, links, or images as needed, then select Comment.
For example, leave a question on a server before planning its replacement, or add context to a meeting so the account manager can review it before the client conversation.
A hardware asset's Comments tab keeps the discussion and replies together.
You can use rich text, lists, links, and images, including screenshots. Comments support up to 5,000 visible characters and 50 different mentions. Attachments other than images, tables, and code blocks are not supported.
Mention a teammate
- In a comment or reply, type @. If you are adding a mention after other text, enter a space first.
- Start typing the person's name to narrow the list.
- Select the teammate from the picker. You can also use the arrow keys and press Enter.
- Finish your message and post it.
Type @ and choose an active account member to add a mention.
Select the person from the picker to create the mention. Mentioning a teammate sends them an in-app notification when their mention notifications are enabled. The picker lists active members of your account; it does not mention teams, groups, clients, or client contacts.
How mention notifications work:
- A person is notified once for each comment or reply that first mentions them. Mentioning them repeatedly in the same message does not send additional notifications.
- Editing a comment notifies only people newly mentioned in that comment. Removing and re-adding the same person does not notify them again.
- Mentioning yourself does not send you a notification.
- A reply without a mention does not automatically notify the original author. Mention the teammate when you want their attention.
Access matters: Mentioning someone does not give them access to the record. A teammate without access can still receive a notification containing the record name, client name, and a comment snippet, but cannot open the record. Check the intended audience before including sensitive information.
Reply to a conversation
In the Comments tab, select Reply beneath the original comment, enter your response, and use the send control. Add a mention if you want a particular teammate to be notified.
Replies stay beneath their original comment. Conversations support one level of replies, so a reply to an existing reply stays in the same thread. Where additional replies are available, select Load more replies to read them.
Find your notifications in the Inbox
Select Inbox below Home in the left navigation. The Inbox opens over your current page so you can review notifications without losing your place.
- All shows both read and unread notifications.
- Unread shows notifications you have not yet marked as read.
- The badge beside Inbox shows your unread count.
- Mark all as read clears the unread state of your existing notifications, including notifications you have not scrolled to.
- The gear icon opens your personal notification preferences.
Notifications appear newest first. New mentions can also appear as a brief in-app pop-up while you work.
Open a mention notification to open the record's Comments tab. The notification takes you to the conversation area; it does not scroll to or highlight an individual comment.
Reply directly from the Inbox
- Find the mention notification.
- Select Reply to open a composer inside the notification.
- Write your response and add any mentions.
- Select Send reply.
Your response is added to the record's conversation, the notification is marked as read, and the Inbox shows You replied. If the notification came from a reply, your response is added beneath the original comment.

Manage your notification preferences
Go to Settings > Personal > Notifications, or select the gear icon in the Inbox.
Notification settings are personal to you in the selected account.
Use the In-app toggle beside Mentions to choose whether new mention notifications appear in your Inbox. You can manage product update preferences separately. Each member controls their own preferences.
Turning a notification channel back on does not resend notifications skipped while it was off.
Mention email availability: Email notifications for comment mentions are not currently sent, even if the Email toggle is on. Use in-app notifications to receive mention alerts.
Review hardware activity history
On hardware assets, the Comments timeline can also show recorded activity alongside conversations. Current activity includes:
- Hiding hardware from reporting.
- Restoring hardware to reporting.
- Changing or clearing the report asset type.
Activity entries show what happened, when it happened, and the actor when available. The tab remains named Comments, and the number on the tab counts comments and replies, not activity events.
Activity history is currently limited to hardware. It does not include every asset property change or changes made before activity recording became available. Use it as context for your team's work rather than a complete audit record.
Edit or delete a comment
You can edit or delete your own comments and replies from their actions menu. Lifecycle Manager administrators can also edit or delete other members' comments.
Edited comments show an edited marker. If you delete a comment that has replies, a This comment was deleted placeholder keeps the replies together. A deleted comment without replies disappears from the conversation.
Removing a mention or deleting its comment does not recall a notification that has already been sent.
Common questions
Why can I see a notification but cannot open the record?
Your current permissions still apply, including Client Access Groups. A mention does not grant access. Ask your account administrator to check your access to the client or record. A deleted record is shown as unavailable.
Why did my teammate not get a notification?
Check that you selected them from the mention picker, they are an active account member, and their in-app Mentions setting is on. Repeating a mention or removing and re-adding it in the same comment does not send another notification. Each reply has its own mention notification rules.
Can I mention someone in notes or task descriptions?
This article covers mentions in comments, replies, and Inbox replies. Mentions in notes, meeting notes, and task descriptions are not currently part of this feature.
Why is a comment or reply not saving?
Check the message length, mention count, and supported content. If a save fails, your draft stays available so you can correct the issue and try again.
Why is activity missing from the timeline?
Only the supported hardware changes listed above are currently recorded. Older changes and some change paths do not produce entries. If you see Could not load history, comments can still be available while history is temporarily unavailable.
