Creating and managing meeting policies (New UI)

A meeting policy defines how often you should meet with a group of clients and which meeting type counts. For example, you can require any meeting every 90 days for all clients, and a business review every 30 days for a particular segment.

Policies give you visibility into cadence. They don't automatically schedule meetings or send reminders.

Before you begin

  • Use the new Lifecycle Manager interface with meeting policies enabled for your account.
  • Policy compliance is shown for clients you can access who are eligible for Lifecycle Manager meetings.
  • You need access to Meeting settings and permission to manage meeting policies to create, edit, or delete a policy. Users without management permission can view policies where their access allows.

If you don't see Policies under Meeting settings, contact your account administrator or Lifecycle Manager Support.

Create a meeting policy

  1. Open Settings > Meetings > Policies.
  2. Click New policy. If no policies exist yet, click Create policy.
  3. Enter a Policy name, such as Quarterly client reviews.
  4. Under Applies to, choose All clients, Specific segments, or Specific clients. For segments or clients, select the audience.
  5. Choose a Meeting type, or leave it as No meeting type to count any type of meeting.
  6. Choose a Meeting cadence: every 30, 60, 90, 180, or 365 days.
  7. Click Create policy.

A 90-day policy measures elapsed days from the last qualifying meeting; it doesn't reset at the start of a calendar quarter.

Edit or delete a meeting policy

  1. Open Settings > Meetings > Policies.
  2. Open the more-actions menu beside the policy.
  3. To update it, select Edit policy, change the name, audience, meeting type, or cadence, and click Save changes.
  4. To remove it, select Delete policy, then confirm by clicking Delete policy.

Changing a policy changes the cadence requirement used to evaluate its clients. Deleting a policy removes that requirement and cannot be undone. It doesn't delete client meetings.

Understand policy status

Status What it means
Within policy The client has a qualifying completed meeting and more than seven days remain before the next one is due.
Soon out of policy The client is still within the cadence, but seven days or fewer remain, including the due date.
Out of policy The due date has passed, or the client has no qualifying completed meeting.

Only completed meetings with a start date that isn't in the future count. If the policy specifies a meeting type, the completed meeting must match it. Cadence is measured from the meeting's start date. If several policies cover a client, the overall status shows the one needing the most attention.

Booking a meeting doesn't satisfy a policy. After the meeting takes place, mark it Completed in Lifecycle Manager. A recurring series or an Outlook event alone doesn't count as a completed meeting.

Find clients who need a meeting

  • On Engage, review cadence coverage and Clients overdue for contact. Click Schedule beside a client to create their next meeting.
  • On the Clients page, use the Filter > Meeting Policy options to find clients who are within policy, soon out of policy, or out of policy.

Clients page with Filter and Meeting Policy options expanded to show Out of policy, Soon out of policy, and Within policy
